Administrative Services Offered

Correspondence

  • Prepare all correspondence templates to insure a high level of productivity on daily reoccurring documents. Insure prompt approvals, delivery and follow-up.
  • Maintain detailed, incoming and outgoing logs. Project files organized and updated daily.
  • Follow-up and write the correspondence to relating to RFI’s, submittals and daily field issues.

Contract and Change Orders Management

  • Prepare change order estimate evaluation spreadsheets for review and approval.
  • Draft change orders for signatures, log, copy and necessary attachments.
  • Collect daily extra work bills, review for completeness and accuracy; transmit for approval or return for correction.
  • Review Certified Payrolls for compliance with prevailing wage rates and the extra work bills.

Project Meetings

  • Prepare agenda, contact attendees and collect items to be reviewed, publish meeting minutes.
  • Facilitate meetings to insure all parties are congenial and meeting stays on agenda.

Submittals & RFI’s

  • Receive, log, and distribute to appropriate parties for review.
  • Insure schedule requirements and timelines are adhered to consistently.

Project Reports

  • Collect data and assist in the preparation of project job cost and monthly progress reports.
  • Insure all inspectors’ daily diary reports are prepared in a timely manner, collect and review for completeness, such as change order number referencing.

Business/Community Interaction

  • Work closely with / or take on the duties for the Owner’s Public Relations to maintain positive public opinion for a project.
  • Transmit project updates and milestones to the PR firm, and / or act as the PR firm.
  • Prepare correspondence and reports for distribution to businesses and residences that may be affected by any aspect of the project.
